Special free heatwave offer

A more efficient, more secure organization before and during a heatwave.

HelloSpot is the citizen relationship management solution of French municipalities. More than 700 municipalities already use it.

We give you a tool to manage and respond more effectively before, during and after a heatwave. Register your vulnerable residents, look after them and alert them by text message on the day of the alert. We set up a free, sovereign tool for you in minutes.

Your obligations

An obligation in force since 2003

Since the 2003 heatwave plan, every French municipality must keep a register of vulnerable people by name (older, isolated or disabled people) and be able to hand it to the prefect (the State’s representative in the département) when an alert is issued. In practice, this monitoring still often relies on poorly secured Excel files and on paper, mail or phone procedures, which are hard to access just when efficiency matters most.

Before / After

  • A register scattered across an Excel file, paper forms or a non-sovereign cloud.

A secure file, hosted in France, with partitioned access.

  • To be added to the list, people have to write to the town hall, phone or come in person.

A procedure available online on computer or mobile, or a staff member who fills it in for the person.

  • On the day of the alert, staff make the calls one by one.

An alert by text message or phone call, according to each person’s preference.

  • A procedure that is hard to make known to residents.

A procedure you can publish on your website and through a QR code, easy to promote.

What is included in the scheme

Anticipate, alert, respond, then measure. The procedures are ready as soon as you create your account.

Before the heatwave

Sign up for the register

  • Three ways in: I sign myself up, I sign up a relative, or a relative signs me up.
  • Online on mobile, or entered by a staff member at the front desk, by phone or by mail.
  • Automatic acknowledgment of receipt and one-click removal from the register.

During the heatwave

Ask for help

  • Three ways in here too: already on the register, not on the register, or a relative asking on the person’s behalf.
  • In a few taps on mobile: water, a fan, a cool place, groceries.
  • The level of urgency makes it possible to respond in the right order.

Share with social services, without losing time

Both the register of vulnerable people and the requests for help can be passed on in one click to the right social services, each within its own scope. Partitioned access, immediate transfer, no re-keying.

Setting it up

How to set up the scheme

  1. 01

You create your free account in minutes, with nothing to install.

  2. 02

The Heatwave procedure is ready to go: you test it and adjust it, if needed simply by chatting with the AI.

  3. 03

You publish it on your website whenever you want (through a widget).

  4. 04

You receive the sign-ups and give partitioned access to your front desk and to the CCAS (the municipal social welfare center).

  5. 05

As the heatwave approaches, you alert each person through their preferred contact method.

  6. 06

During the heatwave, you handle the reports, then you review how it went.

Sovereignty and compliance

Health data handled as it should be

The scheme does not make misuse easier, it limits it. Where mail or e-mail already let a third party sign someone up without any check, HelloSpot adds an acknowledgment of receipt, one-click removal and a verification call.

  • Sovereign hosting: 100% in France, GDPR compliant.
  • Health data: access strictly limited to authorized people (CCAS, social services).
  • Partitioned access: a front desk staff member can sign someone up without seeing the whole register.
  • No cross-referencing of data between public services, in line with the rules of the CNIL (the French data protection authority).
  • Automatic acknowledgment of receipt and one-click removal from the register.
  • AI-based duplicate detection; a human keeps the decision.
